IMPORTANT: Residency Years 1-3 will not be reported as Complete annually to the American Osteopathic Association until all documents have been reviewed and approved by the AOCA Evaluating Committee.  Residency Year 4 and residency in total will not be reported as Program Complete to the American Osteopathic Association until all documents have been reviewed and approved by the AOCA Evaluating Committee.

By July 31 of every year, you need to make sure that the AOCA office has the following*:

  1. Residents must provide copies of their detailed case logs and segregated totals
    • If residents have logs from BOTH AOCA New Innovations and ACGME logging systems, they must provide copies of each AND must calculate the segregated totals themselves.  AOCA office will not do so.  If not totaled, then the resident will fail this requirement.
    • If residents have logs from AOCA New Innovations ONLY, then submit logs only and notify us to generate segregated totals from New Innovations.
      • Log on to AOCA New Innovations > Click Logger > Resident Reports > Click Procedure/Case Log Report for AOCA > Click Change Filters > Click Specify Dates > Set to desired dates for report > Click View Report > Click Export to PDF.  Save report and submit to the AOCA office.
    • If residents have logs from ACGME ONLY, then the AOCA office will need the Case Detail Report and the Experience by Year Report. 
    • Remember, residents MUST have a 400 case minimum for EACH YEAR PGY2-PGY4.  Failure to meet this minimum is cause to not advance to the next year or to become program complete.
  2. Program Director’s Evaluation of Resident
    • Program Directors can fill out the AOCA Evaluations or submit a statement on their Institutions letterhead to attest that the ACGME equivalent evaluation form has been (or will be) submitted to ACGME per their Guidelines/requirements.  Letter must list all Residents whom evaluations have been submitted for, and must be signed by the Program Director.
  3. Resident's Evaluation of the Program 
      • Residents can fill out the AOCA Evaluations or submit a statement on their Institutions letterhead to attest that the ACGME equivalent evaluation form has been (or will be) submitted to ACGME per their Guidelines/requirements.  Letter must state Resident's name and be signed by the Resident. 
  4. Depending upon PGY, Scientific Paper Outline and Scientific Paper (Note: submission deadlines for Scientific Paper)
    • During the ACGME merge, the AOCA will continue adherence to the Scientific Paper requirement.  The AOCA will also offer more opportunities inline to ACGME by offering poster presentation opportunities at ALL AOCA meetings.
  5. Residents MUST attend at least one (1) AOCA meeting during their residency. 
    • The AOCA will provide a form for resents to attest to which meeting they attended during their four (4) years of residency.

* Failure to provide this information could result in not advancing to the next program year or not completing residency program at all.

Resident Quarterly Case Logs are to be submitted by email to the AOCA office by clicking here: Quarterly Case Log Submission Be sure to include the following in the email submission:

  • Residents name
  • Residency program and PGY
  • Specify log quarter

Example: Q1 Case log submission for John Doe at ABC Residency PGY2

 

End of Year Forms are to be submitted by email to the AOCA office by deadlines specified above.
